No Show Policy

NO SHOW: If the client can not locate the driver at the designated meeting place, the client must call (703) 592 3434 to avoid being billed as a “No Show.” If a client leaves without informing SAM SEDAN LLC, full fare will be charged (including any tolls, parking, early/late hour, gas surcharge, administration fee, if applicable, plus 20% gratuity).

Cancellation Without Charge:

Sedan ­ Minimum cancellation time without charge is three hours (3) before the scheduled pick­up time.
SUV – Minimum cancellation time without charge is six hours (6) before scheduled pick­up time.
14 Passenger Van – Minimum cancellation time without charge is twenty­ four hours (24) before scheduled pick­up time.
Stretch Limo – Minimum cancellation time without charge is fourty eight hours (48) before scheduled pick­up time.
Stretch Limo (Prom) – Minimum cancellation time without charge is seven days (7) before scheduled pick­up time.
Mini­Buses (up to 32 passengers) – Minimum cancellation time without charge is seventy two hours (72) before scheduled pick­up time.
Coach – Minimum cancellation time without charge is fourteen days (14) before scheduled pick­up time.

Airport & Amtrak Pick-Up Procedure:

At airports and Amtrak stations, we monitor arrival times, so no matter how late or early you arrive; we will be there to pick you up. This also avoids any extra waiting time charges because we grant 30 minutes grace period at airports and Amtrak stations after the updated arrival times. After all the passengers from your flight have left, our chauffeurs will have the client’s name paged on the Public Address system. We will also try to call the passenger on his/her cell hone number, so it is essential that you provide us with passenger’s cell phone number. After one hour wait at airport and Amtrak stations and other locations, if we do not make contact with the client, we will remove the vehicle and the client will be billed as “No Show”.

*Please note that van, mini-bus, and coach pickups are always curb meets.
BWI & Dulles: Only inside pick-up is available at BWI and Dulles airports. Driver will meet clients at the designated baggage claim area of their airline and flight number with their name sign.
Reagan National: At Reagan National, inside and curbside pick-ups are available. For curbside pick-up, once client is at the second curb, they should call (703) 592 3434 and give the dispatch door number.
Union Station: At Union Station, driver will meet clients at the middle curb lane with a name sign on passenger window.
Waiting Time: We grant 30 minutes grace period after updated arrival time for all airport and Amtrak pick ups. All other pick-ups receive 15 minutes grace period after which, applicable hourly waiting time will apply.

Additional Charges:

Waiting Time: (This applies to point-to-point transfers) We grant 30 minutes grace period after updated arrival time for all airport and Amtrak pick ups. All other pick-ups receive 15 minutes grace period, after which, applicable hourly waiting time will apply.
Extra Stop: (This applies to point-to-point transfers) Extra stop is considered a stop made en route with a maximum wait time of 5 minutes for which a $10.00 fee is charged. Waiting time will be charged after 5 minutes in 15 minutes increment at the applicable waiting time rate. Stops from one zone to another zone will be charged as two zone rates. More than two extra stops may convert the flat rate transfer into minimum 2 hour service at the applicable hourly rate.
Early/Late Hour: Any scheduled pick-up before 04:59 AM and any actual pick-up after 11:59 PM will be subject to a $10.00 additional charge added to the base.
Snow Emergency Charge: Rates double during Snow Emergencies for existing and new reservations.
Holiday Surcharge: A 15% surcharge, based on fare, stops, and waiting time will be added to your bill on the following days—
*New Year’s Day
*Thanksgiving Day
*Christmas Eve, after 5 PM
*Christmas Day
Meet & Greet:
Meet and Greet services are available at request at $40.00 per hour with a 4 hour minimum.
Accommodation: Chauffeur accommodations and meals should be arranged and provided for by the client for any special occasion that requires overnight travel or stay.
Airport Pick-Up (inside): $10.00 is added to the base rate for inside airport pick-ups.
Tolls and Parking: Tolls and parking are charged additionally.
Mileage: Mileage charge, if applicable, will be charged per mile depending upon vahicle type.
Phone: Phone use will be charged at $2.50 per minute.

General Terms & Conditions for All Vahicles

    • SAM SEDAN LLC. reserves the right to add any additional charges to the original price quoted if the client deviates from the original charter information.
    • Client is responsible for damages to the vehicle committed by their party during service, either willfully or accidentally.
    • Client holds SAM SEDAN LLC. harmless and not liable for any personal or material damages, rising from the conduct of their party.
    • SAM SEDAN LLC. will not be liable for delays caused by accidents, breakdowns, bad road conditions, inclement weather, and other conditions beyond its control.
    • If, in the opinion of the carrier, if conditions make it inadvisable to operate charter service from point of origin to any point en route, the carrier will not be liable thereof, or be caused to be held for damage for any reasons whatsoever.
    • Chauffeur has the right to terminate any particular trip if chauffeur feels that operating the vehicle is unsafe in any way whatsoever.
    • Additional cost such as meals, lodging, and transportation will in the respect become the responsibility of chartering party.
    • SAM SEDAN LLC. reserves the right to substitute service with other equipment or affiliate carrier to perform the service contracted.
    • SAM SEDAN LLC. will not be responsible for any object left in the vehicle.
    • Client will be held responsible for any damages they may cause to the interior or exterior of the vehicle.
    • No smoking, no alcoholic beverages, and no illegal drugs are allowed in any of our vehicles.
    • Misconduct (by the passengers) inside the vehicle may result in immediate termination of charter with full charge applied.
    • Objectionable Person(s): Carrier reserves the right to refuse to transport a person(s) whose conduct is objectionable and unsafe to others and terminate the charter without any refund.
    • Spillage policy: A cleaning fee up to $350.00 may be imposed if excessive spillage occurs. (Excessive spillage is considered as beverage/food bodily excretions)
    • Glass breakage: will be charge at $5.00 per glass.
    • Trash­: It is the responsibility of the client or its party to clean all the trash from the vehicle. Otherwise a $100.00 cleaning fee will be charged.

    • If client cancels before 3 hours prior to charter date/time – ­no penalty.
    • If the client cancels less than 3 hours prior to charter date/time­ – 100% of the total trip cost is charged.

BILLING:

    • Hourly rate: _________ per hour + 20% gratuity + ________ % administration fee + gas surcharge = total ­inclusive.
    • Additional overtime use (if any) will be built at above indicated rate in an half­hour increment, overtime is considered as over 15 minutes into the next hour, past the minimum charter hour required.

STRECH LIMO

RESERVATION POLICY FOR STRECH LIMO

    • Minimum 3 hours on weekdays on hourly basis
    • 4 hours on weekends reservation is required on hourly basis

CANCELLATION POLICY FOR STRECH LIMO

    • If client cancels trip before 48 hours prior to charter date/time­ – no penalty.
    • If client cancels between 48 hours to 24 hours prior to charter date/time­ – 50% of minimum is charged.
    • If client cancels within 24 hours prior to charter date/time – 100% of minimum is charged.

BILLING:
